You'll be in Word itself.
Then you're gonna pick on the Home tab.
Now maybe you or your IT team has to do this.
Notice how I have the Cloud icon
on the right side of my ribbon.
That's because I installed the add-in.
So I'll click on the word Add-ins there.
You search for the word Cloud.
In the search area, just type in the word Cloud,
and then look for this one with the official Cloud icon.
You'll click that.
The first time that you do it,
it's gonna ask you to log on to your Cloud account.
And that's where you would need a paid account, okay?
And then once you do that,
you'll have the Cloud icon over here on the right.
So I'm gonna go with the rest of the webinar
with the Cloud add-in for Word.
This can help you make a new document
or change an existing document and so on.
Now, follow my mouse down here.
Even here, you'll see the plus sign.
So you can add your files or photos here.
Sometimes, if you get an older result,
you can have it search the web.
And the connectors and the plugins and the skills
make it even more powerful,
but we're not gonna use those today.
I just wanted to make sure you saw the plus signs
where we can upload the files.
And even here, it says Opus 4.7.
I can change the model there.
And if you have the microphone,
you can speak into it, okay?
Now, everybody, go into the sample files
that came with the class and look for one
that's called Cloud in Word Prompt Library.
I'm gonna use a lot of these prompts today.
I'm just gonna copy it from that document
and I'll paste it where my mouse is,
into the Cloud window.
It says, I work primarily in Microsoft Word
and I wanna use you to speed up document creation.
Before we start, give me a quick rundown
of the kinds of Word tasks you can handle.
So, we're talking the Cloud here
and the kinds where I should still do by myself.
Keep it short and practical.
I'm gonna say, put it into the current document.
Sometimes, it puts the results over here
on the Cloud window.
I'm telling it to put it directly into this document.
And it should actually start to fill in
the current document.
Plus, this gives you an idea of what Cloud can do for you.
And check it out.
It really came back pretty quickly.
Now, where it says, where I help the most,
Cloud is referring to itself there.
So, it can help us with editing existing prose,
contracting legal work, cleaning up a document.
And then, in this case, it's not gonna make any decisions
for you or those kind of things, right?
Sometimes, it can't verify the dates or the time.
So, it's still up to you to look through the document
and make sure it's accurate more than anything.
It can help with some formatting.
Now, so far, it doesn't help with the word macros
or the VBA code.
All right, and then, so that was pretty useful.
It actually gave us a guide of what it can do.
So, I'm gonna save that document.
I'll just save it the normal way.
And I'll call this one Cloud for Word Guide.
So, it can certainly help us make a new document,
and we'll see a couple more examples of that.
Now, we can have it change an existing document.
Of course, I'll show you lots of examples like that.
Maybe I want this list to be numbers instead of bullets.
So, I'm gonna highlight specific text here.
Then, it knows to work on the highlight text.
So, I'll come over here to the right,
and I'll say, change these bullets into numbers.
And then, watch the highlight text.
Now, many of you know how to do that in Word.
I'm just trying to show you that Cloud
can help you format your document also.
This one's taking a little bit longer than I was hoping.
I'll give it a couple more seconds here.
I'm sure if we give it enough time,
it will change those bullets to the number.
So, it certainly can help.
Okay, it looks like it's coming back with something here.
It did change the bullets to numbers, as you can see.
All right, so that was very beneficial.
Let's go ahead and save that document again.
Now, let's take a look at some other examples.
If you go to the sample files,
there's one that's called rough notes.
So, I'm gonna open up the rough notes file,
and maybe these are notes that you took on an online meeting
and you're just gonna type randomly.
Maybe it could even be handwritten notes.
If your handwriting is nice enough,
it might be able to understand your handwriting.
But, let's see if Cloud can make sense of these rough notes.
I am gonna open up the Cloud window on the right again.
So, now remember, I could use the plus sign here
to upload that file.
Always keep that in mind.
You can always upload your own documents.
So, I'm gonna say, make sense of this text
and organize it into meaningful text.
So, this is where we can take our rough notes
and let's see if Cloud can interpret those.
Of course, it would work with longer documents.
Oh, look over here, everybody.
This is really important.
Sometimes Cloud wants to get your permission
to change the document.
So, I'm gonna say, allow once.
Keep an eye on the Cloud window.
Sometimes it asks you for feedback.
And now, look what happens.
They really changed those rough notes into meaningful text.
And then, of course, you'll read it
and then take it from there.
But that very quickly transformed the rough notes
into meaningful text.
I'm really done with that document.
I'm gonna close that one.
Now, another file that came with your sample files,
everybody, is a PDF document.
It's called Suppliers.
So, see if you have the one that's called Suppliers.
Let me pull mine up.
Let's see.
There it is.
So, I'm gonna open up the Suppliers document.
It's actually a PDF.
Well, I like to get that text from the PDF
into a Word document.
This is a task that I'm sure you've seen before.
So, let's go back into Word.
In this case, I'll start another new document.
So, I'll say file and then a blank document.
Again, I have the Cloud icon on the right.
After you did the add-in.
This is an example of using the plus sign.
So, I'll pick in the plus sign.
We'll say add files or photos.
And then, we'll point to that file.
There it is.
And I'll point to our PDF.
Pick on open.
And then, on the prompt, I'm gonna say,
convert this into a Word doc.
Keep the formatting.
So, I'm sure we've all seen a PDF
and sometimes we struggle to get the text from there
and put it into a Word document.
Cloud should be able to handle that.
It always describes what it's doing
over here on the right.
Now, in real life, you don't have to watch this happen.
You can go do something else in your computer
or just come back in a few minutes.
So, I don't have to sit here watching that is my point.
But this shouldn't take too long.
Also, with any of the AI tools,
I would make sure your computer has Windows 11
or a newer version of the Mac operating systems.
And also, get at least 16 gigabytes of RAM
on your computer.
So, maybe you talk to your IT team about that
or you can go to Best Buy and they can help you.
The AI tools, like Cloud and Copilot,
use a lot of RAM on your computer
and they work best with the newer operating systems
like Windows 11 or what's available on the Mac.
Okay, now it's starting to do something.
And then, here's the text.
Look, it didn't even keep the formatting.
I thought that was a really good example.
It can take text from a PDF document
and build it into a Word document.
Good, and it did keep the formatting.
I'm gonna close that new document there.
Let's make another new document.
So, I'll say File and then a blank document again.
Once again, I'm gonna open up the Cloud window on the right.
Now, another file that came with the class, everybody,
is called Whiteboard Korean.
And I'm gonna open up that document
and you can see it's actually in Korean here.
So, maybe you're working with international employees
or international customers or vendors
and you wanna be able to translate this text.
This would be another example
of us uploading the file to Cloud.
I'm gonna close that window for that document.
Then, I'll pick in the plus sign again.
We'll say Add Files or Photos.
And then, there's the one.
It should be among your sample files,
but maybe you have one that you can try.
I'll click on Open.
And then, I wanna say Translate this into English.
It can go to and from many different languages
and put the text on this document.
So, we uploaded the picture
or whatever document type that is.
And we're asking you to translate it.
And now, it gave us the English translation
and we can take it from there.
So, those are all great uses of Cloud,
the Cloud add-in within Word.
And they all would have worked on the website as well.
So, let's try something else now.
I'm gonna make a new document.
Once again, I'm gonna go to the Cloud icon on the right.
Now, sometimes in Word, we wanna have a table.
So, let's see if Cloud can do that.
This could be on a new document or an existing document.
So, we'll come over here to Cloud.
I'm gonna say, create a table that is a four by five.
Make the first row headers.
So, be very specific and very direct with your prompts
and just use plain language.
And just like that, it made a nice table for us, okay?
And the columns are evenly spaced.
Then you can click on that table
and manage it the way you want.
But it successfully made that table.
Now, let's say the table starts to be pretty big
and maybe it's gonna overlap onto the next page.
So, I'm gonna say, add 50 rows to this table.
So, maybe you have an existing table
and just like that, it added 50 rows.
Now, I couldn't have done that that quickly.
I know how to do that,
but I couldn't have done it that quickly.
Now, let's go to the second page.
Oh, I really want those headers
to overlap onto the second page.
There's a specific way to do that in Word,
but we're gonna ask Cloud for that.
I'm gonna say, repeat the headers from the table
on each page after that.
That should be fine.
I said, repeat the headers from the table on each page.
Now, there is a specific way to do that in Word
using the table itself,
but this is a question that people ask me all the time.
I'm just letting my new friend Cloud do it.
Now, Word is trying to find a way to get that done.
So, when I practiced this example earlier in the week,
it took a minute or two.
So, I'm gonna let this one run.
So, Cloud can help you change existing documents,
make new documents for you.
It could be very helpful.
It says it's done.
Let's see.
I'm gonna scroll down,
and now the headers are on both pages.
Very good.
Well, you know, the next thing your boss is gonna ask for,
your boss will say, put the page number on each page.
So, we'll ask Cloud that.
I'll say, put the page number on each page.
Right now, before I asked that,
the page number was not either at the top or at the bottom.
Now, look, as I was speaking,
now it does say page one there,
and I'm sure on page two it says page two.
Good.
What if at the top you want your company name?
So, I'm gonna say, add my company name
to the top of the page.
I'm gonna say to the top of each page,
so it'll carry all the way through.
Add my company name to the top of each page.
Now, it's probably gonna come back
and say, what's your company name?
And I'll say, ABC Suppliers.
ABC Suppliers.
Watch the top of the page now.
Oh, look again, everybody.
Sometimes it is gonna ask you for permission, okay?
So, you can say deny.
Now, if you really start to feel confident with Cloud,
you can put dangerously always allow,
or just say allow once.
So, you manage that the way you want.
A lot of people will feel more comfortable
if you just say allow once.
And now, notice on the top of each page,
it says ABC Suppliers.
That happened on the second page as well.
So, it can definitely help you with those kind of tasks.
